Privacy Notice for Candidates

Vertical Recruitment Solutions Limited (“VRS”) operates as both a recruitment agency and also a recruitment business, introducing potential candidates to companies looking to hire both permanent and temporary staff (“Employment”).

This document explains how we use the personal data we collect about candidates when they register with VRS seeking Employment.  Registration is free, and no formal contract exists between VRS and any candidate until such candidates undertake Employment through VRS. The candidates will either be placed in permanent employment by VRS or engaged as a limited company contractor, depending on the candidate’s preference.

After the Candidate’s Registration  

We, VRS, now need to put you forward for vacancies.  At his point your personal date must be processed as we detail below. 

We may have to ask you to supply limited sensitive or special category personal data relating to criminal records or your health (“sensitive personal data”). We only ask for sensitive personal data if it is essential for us or you to comply with a statutory obligation or to ensure that any employment rights are complied with.  

The sensitive personal date required

This may include, but is not limited to: –

  • Your name, contact details, work history, employment preferences, references and the usual information contained on a CV;
  • Copies of your CV and, where appropriate, proof of your eligibility to work in the UK or elsewhere;
  • If necessary, depending on your role, information needed to ensure that you are paid in accordance with our agreement with you;
  • Any other information reasonably needed in connection with the recruitment process or for any particular role;
  • If legally obliged to do so, details of any criminal offences and up to date criminal records checks;
  • Any further checks we are required to make, depending on the Employment/Employer; and
  • Details of any roles that you obtain through VRS and copies of any correspondence sent to you and to any Employer, relating to those roles.    

What do we do with your personal data?  

We will use your personal data to provide our recruitment services to you, to manage your payment account if appropriate and to contact you about our recruitment services and roles which we consider relevant to your search for work.  This may include providing that personal data (including references), and where appropriate sensitive personal data, to prospective employers, who will use it for processing your application, for personnel administration, additional screening checks and for inspecting our files where they are entitled to do so.  We will also use the personal data you give us, where appropriate, to help to ensure your health and safety at work and to comply with any relevant employment legislation.  

We may have to share your personal data with external companies which we use to assist us in providing you with our services, for example

companies which provide us with the communications services we use to send you emails and SMS messages. Where we do so, we will only share your personal data as far as it absolutely necessary and in accordance with agreements whereby those organisations do not to retain your personal data for any longer than needed or use it for any other purposes (including marketing).  

We will keep your personal data only for as long we deem it necessary. Our goal is to provide you with useful recruitment service for the whole of your career. However please be aware that you retain control over your personal data and may instruct us to stop looking for work for you at any time.  If you ask us to do so, we will remove your personal data from our database, except in circumstances where we have statutory obligations to retain it.

Marketing  

Our aim is to only send you information which relates to our recruitment services.  If you wish to opt out of receiving communications, you can do so simply by using the links included in the emails you receive from us.   

Data Sharing and Transfers 

We do not share your personal data with third parties, except as detailed above and except where it is necessary to do so in order to provide you with our   recruitment services.  Your personal data is stored on servers in the European Economic Area and it is only transferred outside that area if you ask us to assist you in obtaining work outside the EEA.

Access to your personal data and correction

You have the right to request a copy of the personal data that we hold about you at any time.  If you would like a copy of some or all of your personal information, please contact: dataprotectionofficer@vertical-recruitment.co.uk 

If you feel that your personal data is not accurate and up to date, please contact us and ask us to remove or amend any information you think is inaccurate.  

You also have the right to cease receiving our services at any time.  You can then ask us to delete all your personal data, except in circumstances where we legally obliged to retain it or in the event there is an ongoing complaint, which we have received from you or any employers, or in other circumstances where we are required to retain personal data.
